PRIVACY POLICY
GENERAL PROVISIONS
- This Privacy Policy applies to the personal data of users of the journal platform of the Faculty of Polish Studies at the University of Warsaw, operating at [address], hereinafter referred to as the “Platform”.
- The data controller is the University of Warsaw, with its registered office at ul. Krakowskie Przedmieście 26/28, 00-927 Warsaw, NIP: 525-001-12-66, REGON: 000001258, hereinafter referred to as the “Data Controller”.
- The processing of personal data will be carried out in accordance with the requirements of generally applicable legislation, namely Regulation (EU) (EU) 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC, hereinafter referred to as the ‘GDPR’.
Purpose, scope and duration of personal data processing
- The personal data of Platform users will be processed to the extent and for the purpose necessary for the efficient operation of electronic scientific journals, and in particular for the purpose of:
- efficient communication during the editorial process;
- editing content;
- preparing internal reports and analyses (including statistics on page views and publication readership);
- sending notifications and information regarding the journal, with the users’ consent;
- any fees for access to publications;
- informing readers about the authorship of texts published on the Platform;
- indexing published texts and data in databases, catalogues and services, in accordance with the journals’ publishing policy.
- Users registered on the Platform may provide the Administrator with the following data:

- Username
- Gender
- Password (encrypted)*
- Email*
- ORCiD ID
- Website
- Country
- Telephone
- Fax
- Affiliation
- Biography
- Registration date
- Last login date
- Location
- Research interests
- Role on the Platform
Providing your details is voluntary, but (in the case of fields marked with an asterisk) necessary to use the Platform.
- Those registering as readers are required to provide the following details:
- First name
- Surname
- Username
- Password
- Role on the Platform
- Persons registering as authors are required, in addition to the details specified in point II.3, to provide information regarding their affiliation and country of origin.
- Should the sale of electronic versions of publications be launched on the Platform, those wishing to use this service may provide the Administrator with additional details regarding their choice of payment method and bank account number.
- The provision of personal data is:
- submitting texts for publication as an author,
- carrying out work related to the roles of: editor, section editor, technical editor, reviewer, DTP specialist, indexer, proofreader, journal manager, subscription manager, marketing manager,
- creating a reader account to receive information from the publisher and editorial team about newly published issues and articles,
- voluntary when accessing open-access journal content deposited on the platform,
- a prerequisite if you wish to participate in the electronic publishing process, including.
- The personal data of participants in the electronic editorial process, including authors, editors and reviewers, will be processed in accordance with Article 89 of the GDPR for scientific and statistical purposes throughout the period during which the electronic versions of the journal are made available. Archiving articles and metadata, making them available, indexing them and submitting them for indexing in databases, catalogues and academic services is considered a scientific purpose.
- The personal data of prospective authors whose manuscripts have not been accepted for publication may be deleted by the controller two years after the editorial board’s decision not to publish.
- The personal data of users with reader access may be deleted by the Administrator at any time following a request from the user.
Users’ rights
- Every User registered on the Platform has the rights set out in Articles 15–21 of the GDPR, which they may exercise subject to the conditions specified in those provisions.
- Users have the right to edit their account and amend previously provided data, with the exception of their system login. From within the application, they may at any time withdraw their consent to receive information from the publisher and the editorial teams of the journals hosted on the Platform.
- The rights set out in section III.1 may be exercised following prior notification to the Controller by email to the following address: iod@adm.uw.edu.pl.
Rights of the Controller
- The Controller reserves the right to process Users’ data after consent has been withdrawn solely for the purpose of pursuing any potential claims in court or if national, EU or international law obliges the Controller to retain such data.
- The Controller has the right to disclose Users’ data and other data held by it to authorised entities, in accordance with the relevant legal provisions.
- The Controller may use the services of other data processors, subject to written consent granted to them and the conditions set out in Article 28 of the GDPR.
- Data may be transferred:
- to processors in connection with the commissioned service of administration and technical support for the Platform;
- to the publishers of analytical systems such as Google Analytics and AddThis;
- to the publishers of indexing databases and directories:

- Pol-index
- WorldCat
- Google Scholar
- CEJSH
- Crossref Metadata Search
- to entities or authorities authorised under the law.
Protection of personal data
The platform is encrypted using the SSL (Secure Socket Layer) protocol. User passwords entered are encrypted.
Cookies
- The Platform uses cookies to identify visitors’ browsers. The Administrator uses the information collected to gain an understanding of the frequency of visits to the Platform and to identify its most interesting features. The data obtained will enable the Administrator to better tailor the Platform to users’ needs, improve its functionality and for statistical purposes. These files cannot be used to infect a device with viruses or other malware.
Information Notice
- The Controller of your personal data is the University of Warsaw, with its registered office at Krakowskie Przedmieście 26/28, 00-927 Warsaw.
- The Data Protection Officer of the University of Warsaw oversees the proper processing of personal data and can be contacted via the following email address: iod@adm.uw.edu.pl.
- Your personal data will be processed for the following purposes: to perform a contract to which the data subject is a party, or to take steps at the request of the data subject prior to entering into a contract, or to fulfil legitimate interests pursued by the University of Warsaw.
- The data provided will be processed on the basis of Article 6(1)(a), (b) or (f) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016.
- The provision of data is voluntary, but necessary for the purposes for which it is collected.
- The data will be disclosed to external entities in cases provided for by law, and, on the basis of data processing agreements, will be transferred to entities providing services to the University of Warsaw, such as: IT service and system providers, payment operators, postal operators, couriers and other subcontractors.
- The data will be retained for the period necessary to fulfil the terms of the sales contract and for the time required to meet obligations arising from accounting and tax regulations. If the basis for processing is your consent, the data will be processed until such consent is withdrawn. You may withdraw your consent at any time by sending a request to the following email address: wuw@uw.edu.pl.
- You have the right to access your data and, subject to the provisions of the law: the right to rectify, erase, restriction of processing, the right to data portability, the right to object, and the right to withdraw your consent at any time.
- You have the right to lodge a complaint with the President of the Office for Personal Data Protection.
- Your data will not be processed by automated means and will not be subject to profiling.
